A Guide to the Filling of Posting Forms for Prospective Malaysian Teachers

The Context for this Guide:
  • Time: The Year 2008

  • Applicants: The 2nd Cohort of the Bachelor of Education: Teaching English as a Second Language (Overseas Link) Programme
Note: May also be applicable to other teaching courses/applicants/institutes

To prevent you, future teachers from being as frustrated as I was & making as many visits as I did to the Hal Ehwal Pelajar (HEP or Student Affairs Department) where sometimes everyone is out for morning, mid-morning, afternoon or mid-afternoon tea...
Here is a complilation of all the infomation that has been gathered on the filling of the posting forms.

The forms are:
  • "Borang Penempatan" (4 copies)
  • "Borang Keselamatan" (3 copies)
  • "Profil Pelajar" (1 copy)

Required Documents To be Included:
Four of each (true-copy certify them):
  • "Salinan Kad Pengenalan"
  • "Salinan Surat Beranak"
  • "Salinan Surat Tawaran Kursus"
  • "Salinan Sijil-Sijil Akademik yang Berkaitan" (exp: SPM, STPM, Diploma, Ijazah)
  • "Sijil Berhenti Sekolah"
  • "Salinan Sijil-Sijil Kokurikulum"
8 copies of:
  • "Gambar berukuran pasport" (to be pasted on the 8 posting forms)

Borang Permohonan Penempatan
This form was given to us on a CD in MS Word format.
We were instructed to distribute the forms to every person in the course, get them to fill up the form on Word & then print 4 copies of the form on coloured paper (provided by HEP upon request).
  • Primary School: Red Paper
  • Secondary School: Blue Paper

When Filling this Form, Take Note:
  • Fill in as many details as possible. Leave irrelevant blank.
  • Format: make sure that the caps for every form is standardised.
    • Go with either "All CAPS" or "Word Caps".
  • "Kod Kursus":
    • Primary: E510E0000P
    • Secondary: E520E0000P
  • University Details:
    • 1st Degree: Bachelor of Education Teaching English as a Second Language
    • "Taraf": "Sarjana Muda"
    • Major: Teaching English as a Second Language

Borang Keselamatan
3 copies of this form has to be filled by each person.

When Filling this Form, Take Note:
  • Fill in as many details as possible. Leave irrelevant blank.
  • "Jawatan Diminta": "Pegawai Perkhidmatan Pendidikan DG41 (Guru)"
  • "Jabatan": "Pelajaran"
  • "No. Sijil" refers to your "No. Surat Beranak"
  • "Alamat-Alamat Tempat Tinggal Masa 10 Tahun Lepas":
    • Every detail must be provided
    • Example: Hometown>Hostel>Overseas>Hostel
    • Hostel Address: Asrama Pantai Puri, Lembah Pantai, 59200 Kuala Lumpur, Malaysia
    • You can take up space beyond what is allocated

Profil Guru Pelatih
Each person had to complete 1 copy of this.

When Filling this Form, Take Note:
  • Fill in as many details as possible. Even if you don't have a certificate to prove your participation. Leave irrelevant blank.
  • You need to see your mentor or coordinator to complete this form.
    • They have to fill in the "Ulasan Sahsiah", "Kehadiran" & sign the form.

On the Documents to be Included, Take Note:
  • True-Copy Certification
    • HEP refused to certify our documents
    • We had to look for lecturers
  • Co-Curricular Certificates
    • Refers to Tertiary level co-curricular certificates
    • Secondary School level certificates are not necessary
  • "Surat Tawaran"
    • We recieved 2 letters at the beginning. One from "Bahagian Pendidikan Guru" & one from "Bahagian Biasiswa".
    • The one from "Bahagian Biasiswa" was compulsory for us. The other was optional to include.

Guidelines for the use of this Guide:
  • All infomation here must be cross-referenced with your HEP
    • The infomation here is gathered after the discovery that the instructions given by HEP was incomplete & lacking
